About the role
The Volunteer Welfare Events Planner is a vital role responsible for planning, organizing, and executing small-scale hangouts and activities aimed at enhancing the well-being and engagement of our volunteers.
This position will work closely with the Volunteer Management staff member(s) and other team members to create a welcoming and supportive community for all volunteers.
Commitment
0-2 hours/ week on average
● Hours may increase closer to any upcoming events, if needed
● Lower involvement needed if there are no upcoming events
● One in-person meeting to come up with a tentative timeline within the team, and to allocate workload accordingly
Minimum commitment of 6 months. Preferable if you can commit for a year.
Responsibilities
● Maintain accountability to the volunteer management staff member throughout the planning of all events
● Maintain 2-3 active chat groups with assigned volunteers (including sending well wishes and/or birthday messages within the group)
● Ideate on possible activities, primarily for groups of 3-10 participants
● Identify the ideal date for the event to encourage and maximise volunteer attendance● Plan events / activities intentionally to foster a sense of community and closeness among volunteers
● Attend events to facilitate the group and ensure that the events run smoothly
● Gather feedback from volunteers on events and activities, and use this information to improve future welfare initiatives
● Maintain accurate records of event participation, feedback, and expenses
Requirements
● Previous experience in event planning and/or welfare activities is preferred
● Ability to work independently for smaller-scale events
