About the role
The Volunteer Welfare Events Planner is a vital role responsible for planning, organizing, and executing events and activities aimed at enhancing the well-being and engagement of our volunteers.
This position will work closely with the Volunteer Management staff member(s) and other team members to create a welcoming and supportive community for all volunteers.
Commitment
0-2 hours/ week on average
● Hours may increase closer to any upcoming events, if needed
● Lower involvement needed if there are no upcoming events
● One in-person meeting to come up with a tentative timeline within the team, and to allocate workload accordingly
Minimum commitment of 6 months. Preferable if you can commit for a year.
Responsibilities
● Maintain accountability to the volunteer management staff member throughout the planning of all events.
● Ideate on possible activities, primarily for groups of 5-10 participants
● Identify the ideal date for the event and liaise with heads and programme managers to encourage and maximise volunteer attendance
● Plan events / activities intentionally to foster a sense of community and closeness among volunteers
● Coordinate with vendors, manage budgets, and procure necessary materials and services
● Attend events planned by the team to ensure that the events run smoothly
● Gather feedback from volunteers on events and activities, and use this information to improve future welfare initiatives
● Maintain accurate records of event participation, feedback, and expenses
Requirements
● Previous experience in event planning is preferred
● Ability to work independently for smaller-scale events, as well as to work in a team for larger events
